Agents tour houses every week. Nobody follows up. ClientBoss turns the tour itself into booked showings, locked-in clients, and a paper trail.

A field operating system for real estate agents built around the weekly ritual they already do — broker opens, caravans, and open houses. Every arrival triggers buyer matching, every departure triggers feedback, and every touch is logged. Integrates with CommLocker™ so the relationship record is tamper-evident.

One Day on ClientBoss — The Full Loop
1
Overnight
MLS list drops → matching engine runs
ClientBoss ingests the day's broker-open / caravan list from the MLS feed and runs every property against the agent's buyer database — fed three ways: import of the agent's existing buyers (CSV / CRM sync), MLS saved-search criteria the agent already maintains, and the Buyer Questionnaire for new prospects.

2
7:58 AM
Morning match alert
Push/SMS to the agent: "3 of your buyers match today's tour." One tap opens the pre-built tour list. The agent looks brilliant before coffee.
Demo: caravan.html
3
8:15 AM
Swipe → route → drive
Keep/skip each property, tap once, and the optimized route opens in Google Maps with voice turn-by-turn. Mileage tracking starts automatically.

4
On Arrival (geofence)
Two texts fire at once
To the listing agent: "Lauren Cotner (eXp) just checked in at your broker open 👋 — Sent via ClientBoss." To matched buyers: "I'm at [address] — I discovered it fits your needs. Want a showing? Y/N." Wish-list items get called out ("AND it's on a cul-de-sac 🎉"). Non-app visitors check in via the printed QR sign.

5
Buyer replies "Y"
Showing scheduled the right way
ClientBoss reads the listing’s showing instructions from the MLS — the listing agent controls the flow. Default (appointment required): the system contacts the LISTING agent first — text and/or ShowingTime, per the MLS — waits for their confirmation, and only THEN confirms the buyer: "Your appt is scheduled and confirmed — see you at [time] at [address]." No response in 1 hour → agent is prompted to call. Exception — vacant / Go Direct only: books instantly via Calendly. Multiple yeses batch into one buyer tour route.
Calendly APITwilio SMS
6
On Departure
The feedback chase (3 texts, then stops)
Visiting agents get a link to the 10-second feedback form — star rating, one comment, and an optional, always-anonymous price opinion (agents won't attach their name to a value call; anonymity gets the honesty). Two reminders max. Carrier-compliant (A2P 10DLC, STOP opt-out).

7
Tour End
Recap + the locked trail
Agent gets the end-of-tour email: stops, texts, yeses, showings, miles and deductible total. Any outreach can be locked to CommLocker™ with one tap — user-initiated, never automatic — a tamper-evident record proving the working relationship (procuring cause, buyer-rep value, post-NAR proof-of-work).

Friday 5:00 PM
The seller report
Auto-generated weekly report to the seller: visits, feedback, anonymous price sentiment bars, and "what your agent did this week." Solves the #1 seller complaint — silence — and makes listing agents pay for ClientBoss too.

The Four Tiers

How it connects: the tours (broker opens, open houses, seller comp tours) generate check-ins → check-ins feed one database → the database powers buyer matching (Tiers 1–3) and Seller Intelligence (Tier 4) → which wins more listings, which creates more tours. One spine, one flywheel.

Tier 1
Broker Open Circuit
Match alerts, routing, arrival texting, mileage & expenses. The core loop.
Tier 2
Feedback & Seller Reports
Check-in, QR sign-in, feedback chase, weekly seller report. The listing-agent side.
Tier 3
Lead Capture & Intake
Buyer questionnaire, existing-database & CRM import, MLS saved-search sync, open-house lead ingestion, portal-lead auto-import.
Tier 5
Seller Tours & Comp Reality
Prospective sellers tour their real competition via the open-house circuit — check-ins tagged to their agent, comp-reality report (condition, noise, feedback vs. photos), prep punch list, and a CommLocker™-documented advisory trail from first CMA request.
Tier 4
Seller Intelligence
The data payoff: showing traffic, feedback, and cross-shopping patterns mined from ClientBoss’s own check-ins (“buyers touring PV are also shopping Torrance”) — the listing-winning dashboard no one else can build. Commercial + land module rides here as an unlock.

Why Now — The Market Evidence
15+ hrs
Average agent response time to a new web lead — while 78% of buyers work with the first agent who responds. ClientBoss responds in seconds. (Inman 2025 / NAR)
48%
Agents who never follow up after the first attempt — yet ~95% of conversions happen after the 6th touch. The chase sequences never drop the ball. (NAR / Harrelson 400K-lead dataset)
10+ hrs/wk
Time the average agent loses to admin — scheduling, logging, paperwork. Routing, mileage, expenses, and reports are automated here.
31%
Realtors who feel unsafe at open houses; nearly half host them alone. The check-in layer doubles as a safety net. (NAR Member Safety Report)
Post-NAR
Written buyer agreements + meticulous documentation are now compliance requirements. ClientBoss + CommLocker™ = the timestamped record. (NAR settlement, Aug 2024)
0.4–1.2%
Industry lead conversion rate. The gap isn’t lead quality — it’s the system around the leads. That system is the product.
Architecture — One Platform, Two Front Doors

Agent App (logs in, pays)

The field OS: match alerts, tour scheduler, routing, arrival texting, buyer database, miles & expenses, feedback results, seller reports
Native mobile app (Kavara) for geofencing, push, auto-mileage; web dashboard for the desk
"Share My App" button — texts the agent’s branded buyer link to a prospect in one tap at the open house

Buyer Link (no download, no login)

Agent-branded web app at the agent’s link (e.g. clientboss.io/a/lauren) — opens instantly from a text or the QR sign; installable to the home screen with the agent’s name and photo
What buyers see: intake + representation gate, match scorecard, their open-house map with directions, tap-to-check-in, lender tiles
What buyers never see: other buyers, agent tools, pricing, the back office. Identity = their cell number (magic link), no passwords
Demo built: buyer.html — "Lauren’s Home Finder" (fork → 60-sec intake → match scorecard → matched weekend list)

Public Micro-Pages (one tap, one job)

Feedback form — visiting agents land here from the chase text; 10 seconds, no account
QR check-in — forks visitors: licensed agent → sign-in sheet; house hunter → the buyer link above
Every surface writes home: all three doors feed one database — the agent’s back office sees everything
